Fairfield High School – Visitors protocol

 

This protocol is to ensure the safety and security of all students, staff, and visitors on the school premises. It sets out clear expectations for how visitors are received, managed, and monitored in accordance with the school’s safeguarding, health and safety, and data protection policies.

Definition of a Visitor

A visitor is anyone entering the school premises who is not a current student, member of staff, or authorised contractor on site.
Visitors may include:

  • Parents or carers
  • External professionals (e.g. educational psychologists, social workers)
  • School directors
  • Supply teachers and agency staff
  • Contractors and maintenance personnel
  • Volunteers
  • Prospective parents or job applicants
  • Guest speakers or workshop facilitators

Principles

  • The safety and welfare of students is the school’s highest priority.
  • All visitors will be treated courteously and made to feel welcome.
  • All visitors must follow this protocol without exception.
  • Any concerns about a visitor’s behaviour must be reported immediately to the Headteacher or Designated Safeguarding Lead (DSL) or a senior leader

Arrival and Signing In

  1. All visitors must report to Reception on arrival.
  2. Visitors must sign in using the electronic system or logbook.
    • Full name
    • Organisation (if applicable)
    • Purpose of visit
    • Name of staff member being visited
  3. All visitors must present valid photo identification unless attending a authorised meeting.
    • DBS certification will also be requested if the visitor will have unsupervised contact with students.
    • DBS certification will always be requested on a visitor’s initial visit if engaging in unsupervised regulated actively. Visitors who are frequent to the school may be placed on the authorised visitors list i.e support workers, school nurse, peripatetic teachers
  4. Visitors will be issued with a visitor badge/lanyard which must be worn and visible at all times while on site.
    • Green lanyards: Fairfield High School staff
    • Red lanyards: Non-DBS cleared (must be supervised/escorted on site)
    • Blue lanyards: DBS cleared (may work unsupervised if authorised)
    • Yellow lanyards: School Directors

5. Supervision and Access

  • Visitors without a DBS check must remain under supervision of a staff member at all times.
  • Visitors must only access the areas of the school relevant to their purpose.
  • Students should never be left alone with a visitor who is not DBS-cleared.
  • Photography, filming, or recording is not permitted without prior authorisation from the Headteacher, DSL or senior leader.

6. Conduct Expectations[PH1] 

Visitors are expected to:

  • Follow all safeguarding, health and safety, and fire evacuation procedures.
  • Treat all students, staff, and property with respect.
  • Refrain from using mobile phones in student areas unless authorised.
  • Report any safeguarding concerns immediately to the DSL.

Failure to comply with these expectations may result in removal from the premises and, where necessary, further action being taken.

7. Departure and Signing Out

  • All visitors must sign out at Reception using the electronic system and return their lanyard/badge before leaving.

8. Unannounced or Emergency Visitors

  • In exceptional circumstances (e.g. emergency services), visitors may be admitted immediately under staff supervision.
  • If an unauthorised person is found on site, staff must:
    1. Approach politely to enquire about their purpose.
    2. Escort them to Reception or contact a senior leader.
    3. Report the incident to the DSL or Headteacher.

9. Monitoring and Review

This protocol is reviewed annually by the Headteacher and Designated Safeguarding Lead, and approved by the Directors as part of the school’s safeguarding procedures.
